About Freedatarooms
Freedatarooms exists to answer one narrow question well: which virtual data rooms can you actually start using for free, and what do you give up at each price point above free? Most data room content online is written by vendors with no free tier, so “free” gets dismissed as risky by default. We take the opposite starting point — verify what ships free, then compare upward.
The site covers provider profiles with free-plan status, head-to-head comparisons, and workflow guides for fundraising, due diligence, and M&A document sharing.
How we test free plans
We check what actually ships free
For every provider we verify whether a permanent free plan exists, what it includes (storage, rooms, viewers, controls), and where the paywall starts. “Free trial” and “free plan” are never treated as the same thing.
We sign up and test free plans directly
Where a free plan or trial is self-serve, we create an account, upload documents, invite a reviewer, and test the core controls: permissions, watermarking, download restrictions, and audit visibility.
We aggregate independent ratings
Review scores shown on profiles are aggregated from independent platforms including G2 and Capterra, linked from each profile so you can read the underlying reviews yourself.
We document pricing with sources
Where vendors publish pricing we cite their pages; where they do not, we say so and cite reported ranges. Every profile and comparison carries a last-reviewed date.
How providers are ranked
Rankings on the directory homepage weigh the following criteria, in this order:
Free plan availability and depth — a real, permanent free plan ranks above trial-only access, which ranks above sales-gated evaluation
Published, predictable pricing above quote-only pricing
Core document controls: granular permissions, watermarking, audit trails, NDA gating
Independent review ratings on G2 and Capterra
Fit for the workflows this site covers: fundraising, due diligence, and M&A
Because free-plan availability leads the criteria, providers with a permanent free plan rank first. That is a deliberate editorial choice — it is the question this site exists to answer — and it is why the same providers would rank differently on a list weighted toward enterprise process tooling. Comparisons state plainly where a paid enterprise platform is the better choice, because for many large processes it is.
Disclosure
Freedatarooms is operated by the team behind Papermark, an open-source data room with a free plan. That connection is part of why this site focuses on free availability. Ratings shown on profiles aggregate independent review platforms (G2, Capterra), competitor facts are sourced and dated, and every comparison names scenarios where a competitor is the better choice. If you find an error in any pricing or plan detail, contact us and we will correct it.
Editorial standards
Every profile and comparison carries a last-reviewed date. Pricing is re-checked against vendor pages on review, and quote-only pricing is labeled as reported rather than presented as fact. External links to review platforms and vendors are provided so readers can verify claims directly.
